St Matthews is a large contemporary evangelical church with a vision to grow God’s church through the Gospel. We see this outworked by making faithful disciples who share Jesus’ love, grace and truth in Manly and beyond. Located in the heart of Manly on The Corso, it is a busy ministry with the church site in use 7 days a week for church ministry and community activity.
We are looking for a mature Christian with energy and drive to promote and manage all aspects of St Matthews spaces, for booking and hire purposes with both internal and external users. These spaces cover the entire St Matthews site and include rooms, halls, auditoriums, the church, function rooms and the courtyard (the “facilities”).
We are looking for someone with excellent communication and organisational skills, who is great with detail and has the ability to meet deadlines. In addition to this, a key responsibility will be the promotion and marketing of the facilities to attract and drive business.

Key Relationships
· Internal and external users.
· Pastoral & Administrative staff, volunteers and external users.
· Wardens, the church Accountant and Treasurer.
Key Responsibilities
Customer Service & Promotion
· Primary contact for all booking enquiries, both internal and external. Respond to all enquiries on a timely basis.
· Build and maintain positive relationships with internal and external customers.
· Actively promote the hire and use of the facilities to external users.
· Coordinate the marketing and promotion of the facilities.
Booking Coordination & Administration
· Maintain the Booking database and record management (Planning Centre Calendar), ensuring it is up to date and accurate.
· Manage all booking documentation, eg, Licence Agreements and insurance documents.
· Coordinate outsourced suppliers eg, AV tech, cleaning, live sourcing, catering.
· Manage access for users through the Building Management Security platform.
· Provide quotations and pricing to users as required.
· Coordinate with the St Matthews Accountant for billing and invoice purposes.
Venue Management
· Monitor and ensure high levels of cleanliness and tidiness of the facilities and work with Property Manager and Business Manager as required to achieve this.
· Organise paid contractors as required to meet the needs of users as required.
· Liaise with St Matts staff and volunteers to meet the needs of internal users.
· Ensure supplies are maintained in shared spaces where required.
Other
· Contribute to the broader staff team, attend staff meetings and staff days as required, as well as other general activities organised to facilitate teamwork.
· Work cooperatively with wardens, ministries and staff.
· Undertake other occasional duties as required by the Business Manager.
· It is a requirement of the position for the successful candidate to be a regular member of St Matthews church, regularly attending a service of their choice on a Sunday.
· Actively promote the St Matthews vision and values and apply all relevant church policies and guidelines.
· Cooperate with any reasonable instruction, procedure or policy of St Matthews and comply with all OHS requirements.
Key Capabilities/Qualifications/Experience
· Mature Christian with a passion to grow God’s church through the gospel.
· Previous experience in events coordination and administration would be an advantage.
· Solid administration experience and meticulous attention to detail.
· Proficient IT skills including MS Office suite, and Apple Suite of Programs.
· Experience in event/venue marketing and promotion would be an advantage.
· Experience with booking systems and databases (eg. Planning Centre) an advantage.
· The ability to work to tight deadlines with competing priorities.
· Excellent written and verbal communications skills.
· Good organisation, planning, and time management skills.
· Ability to work both autonomously and as part of a team.
The role will require the successful candidate to work in the St Matthews church office. Working hours can be flexible depending on the requirements of users and events and may also occasionally require evenings or weekend work to facilitate the needs of users.
