This pivotal, full-time, office-based role suits someone with administrative precision and strong computer proficiency to ensure the compliant, secure, and efficient delivery of our NDIS supports.
You’ll be part of the administrative backbone of our local operations, focusing on creating vital capacity for our Support Coordination team to focus on client acquisition and high-value participant support. Reporting to and supporting the Operations Manager and Support Coordinator. This role offers a clear and defined pathway for professional development.
Key Responsibilities:
Your primary function is administration, focusing on financial integrity, shift rostering, compliance documentation, and communication. The secure, local execution of these tasks is essential to our operational stability.
- Â Communication and Engagement:
- Manage high-touch communication, responding to participant messages, calls, and emails, requiring professionalism, quick judgment and clear communication.
- Dynamic Social Media Management: Own the content lifecycle from concept to post. This role involves scheduling and publishing compelling content, as well as providing prompt, professional responses to all social media comments, messages, and audience inquiries to foster a vibrant community.
- Financial Integrity and Reconciliation: (training provided)
- Cross-check timesheet data between Aurion and ShiftCare and approve daily timesheets and mileage claims.
- Process weekly invoices using Xero and ensure ShiftCare alignment.
- Reconcile weekly transaction statements, ensuring staff travel logs are compliant and accurately submitted.
- Receipting, uploading purchases to Google Drive, and generating required management reports.
- Rostering and Support Management: (training provided)
- Coordinate shift-care rostering, finalising weekly schedules to balance staff, participant needs, and onboarding.
- Manage daily roster coverage and support the team with unexpected changes or emergencies (Some After-Hours Support).
- Data and Audit Compliance: (training provided)
- Maintain rigorous data and audit compliance by processing all new data entries in ShiftCare (support hours, travel logs) and updating staff certification files.
- Collate sensitive documentation required for potential NDIS audits and quality reviews.
What You Will Bring:
- Administration Expertise: Proven experience in a complex administrative role where meticulous attention to detail is essential.

- Systems Proficiency:
- Proficiency in the Microsoft Suite and G Suite (Google Drive) for data management and security.
- Experience working with financial and client management systems: Non-essential but highly valued: (ShiftCare, Aurion, and Xero).
- NDIS Context: Non-essential but highly valued: A strong or developing understanding of NDIS documentation, compliance, and the critical nature of accurate timesheet and rostering management.
- Autonomy and Communication: Proven ability to work autonomously, find solutions, and maintain confident, professional communication with staff and participants.
